Mail User Guide

Open your preferred browser and go to mail.domain.tld,
where domain.tld is your actual domain
name. For example, if your domain is testers.com, you would
go to mail.testers.com.

You should see a similar page as above. To manage your
mail account, click on the User Self Management button.

This will open a new screen. Enter your full email address
in the username field and your password below that. Then
click the login button.

The first screen is the Details screen. You can add your
name and other contact information if you like.

To enable forwarding for your account, click Forwarding on
the left side. Fill in the email address and whether or not
this account should keep a copy or delete after forwarding.
You can also enable an automatic response for your account.

To enable an autoresponder (vacation or “out of office”
message), check the box next to Enable responder.
Recommended settings are above: set the responder to only
respond to someone who emails you directly, only send a
response to a single email address once a day (even if they
email you more than once) and set the responder to
auto-disable after a certain time. This makes sure that you
will not forget to turn it off! When you’ve finished, click
save at the bottom.

You can change your password by clicking on Password on the
left. Fill in your new password twice and click Change to
complete the task.

Aliases are other names for your email address. By
default, most users have the ability to add up to five
aliases to their original email address. To do this, click
Aliases on the left, then Create Alias as shown above.

Fill in the full email address alias desired in the bottom
field and click Create Alias.

There should be a subtle confirmation message ‘Alias
created’ at the top of the screen. To view your aliases,
click Aliases as shown above.

There should be a gray box with aliases enumerated within
it. To delete an alias, check the box next to the alias to
be removed, and click Delete Alias(es).

To view your mailbox contents and delete large or corrupted
messages, click Mailbox on the left. Here you can also set
archiving rules or import messages from mail accounts on
other servers.

To use the archiving feature, click Archive as above.

On the next screen rules can be set up to archive messages
based on various date, size and folder combinations.

The rule above will archive messages 30 days old into a
folder dated the day it is archived.

The archive rule will not be applied until it is shown as
above and Apply Now has been clicked.

To import mail from another server, click Import at the top.
There should be a screen similar to the one above. Fill in
the mail server details, and, to prevent data loss, check
off Leave on server. Then click Fetch Now. If it takes
longer than 30 seconds, it will finish in the background and
give you a status update in your inbox when it does finish.

To be notified of incoming mail on this account, click Email
Notification on the left, and fill in the address to which
notices should be sent in the field provided. Click Save to
keep your change.

To create filters for your account, click Filtering on the
left. Filters can be used to forward, move, or reject
messages. Above is an example of creating a rule that will
forward any message from a VIP to an account that gets
important messages for the domain domain.tld.

The next example is so that anything sent by a user to that
user’s account (itself) will get put into the Sent Items
folder rather than cluttering the Inbox.

Finally, the last example shows how to reject mail from a
specific email address even though it may not be spam—just
unwanted.

If you would like to get logs of your mail activity mailed
to you automatically every so many days, click Log on the
left. Choose a time period from the drop-down menu and click
Save. You will only get logs regarding features that are
available to you.

When finished managing your account, click Logout on the
left.
